Your Dashboard

Today at a glance, and anything that still needs your attention.

The Dashboard is the screen Booked opens on. It answers three questions at a glance: is anything waiting on me, who is in today, and how is the month going. Nothing here is editable — you click through to the Calendar or Bookings to act.

Finish setting up Booked

While setup is incomplete, a card headed Finish setting up Booked sits at the top of the Dashboard. It tracks six jobs, shows a progress bar, and gives every unfinished job a Set up link.

The setup card at the top of the Dashboard.

  • 1Progress — a percentage and an x of 6 done count. A finished step gets a tick, plus 2 added or 9 added where a count applies.
  • 2Set up with the assistant — opens a short chat that asks about your business, then builds your locations, services and staff for you.
  • 3I’ll do it myself — hides the card. The choice is site-wide and permanent: every administrator loses it at once, with no way back. The assistant lives on under Settings Company as Guided setup.
  • 4Set up — jumps to the screen for that job. One caveat: the link on Take payments and deposits lands on the Company tab, so you then click Payments in the tab rail yourself.
The bar stops at 67%

Two steps — Confirmation & reminder messages and Put the booking form on your site — never tick, even once you have done them. Four of six is as far as the bar goes, so the card never hides itself. Use I’ll do it myself to clear it once your form is live.

The card appears only for administrators and anyone with the Booked settings permission. Other managers see the Dashboard without it, and nothing explains the gap.

Alerts and the eight headline numbers

Under the setup card sits the one alert the Dashboard raises, then eight tiles. The alert shows only when bookings are waiting on you.

  • 1Bookings waiting for approvalReview opens the Bookings list, where you can filter to Pending. On a new site this alert never goes away, because Auto-approve new bookings starts off. Turn it on under Settings Booking rules in Booking rules.
  • 2Expected this month — what this month’s appointments are worth if they all go ahead, paid or not, using the price stored on each booking when it was made.
  • 3Taken this month — money collected through Booked Payments on this month’s appointments. Read the warning below before relying on it.
  • 4Paid online — every booking ever marked Paid or Deposit paid. All-time, despite sitting beside two “this month” tiles.
  • 5Awaiting approval — the same pending count as the alert. Its icon greys out at zero.

The amount collected on a card is not yet written back to the booking, so Taken this month reads £0.00 even when payments have gone through. For money actually received, use Settings Payments and its balance and payouts.

Today’s schedule lists every appointment happening today, earliest first. Coming up lists the next six from this minute onwards. Cancelled appointments appear in neither, and clicking any row opens the Bookings list.

  • 1Open calendar — jumps to the Calendar, where an appointment can be moved or edited. These lists cannot.
  • 2Badges — the status, then Paid, Deposit paid or Refunded, plus Chargeback if the customer has disputed the payment with their bank. Video appointments get a video tag. The status badge prints the stored word as-is, so a no-show reads “No_show”. Someone who booked without a name shows as Guest.
  • 3All bookings — opens the full list. Coming up is capped at six rows with no “show more”, so this is the only route to the seventh.
  • 4Dated rows — anything not happening today carries its date, so a bare time always means today. Times follow Settings Region & currency Time format.
These two lists use your computer’s clock

The tiles are worked out on the server in your business timezone, but the lists take “today” and “now” from the machine you are sitting at. On a laptop set to another timezone, Bookings today and Today’s schedule can disagree. Set the business timezone under Settings Region & currency.

Payments and Your business

  • Payments counts bookings by payment state: Paid in full, Deposit paid and Refunded. All three are all-time counts of bookings, not sums of money.
  • Your business counts your Locations, Employees, Services and Categories, including inactive ones. A zero against Employees or Services explains an empty booking form faster than anything else here.

What the numbers include — and what they don’t

  • Cancelled bookings are excluded everywhere. A no-show is not — it still counts towards Bookings today and Expected this month.
  • The Dashboard counts by appointment date; Analytics counts by the date a booking was made. A quiet Tuesday on which you took twelve bookings for September gives a low Dashboard number and a high Analytics one. Both are right; they answer different questions.
  • One visit is not always one row. A group booking for a family of four is a single row priced at four times the service. A course is one paid booking plus a £0 booking per follow-up visit, and back-to-back appointments are stored separately — so one visit can show as two or three.
  • Counts and money are formatted differently. Counts use thousands separators (1,204); money does not (£6485.00). The symbol comes from Settings Region & currency Currency, which re-labels figures rather than converting them.

When to check the Dashboard

Open it first thing to see who is booked in and whether anything is pending, and again at close for tomorrow. For anything beyond that — trends, revenue over a chosen period, best services, where customers came from — use Analytics, which lets you pick a date range.

If the Dashboard doesn’t look right

  • It stays on “Loading…”. The figures request has failed, with no error message and no retry. Usually the account lacks permission to manage bookings — the built-in Employee role cannot see these numbers. Check by signing in as an administrator.
  • It opens on another screen. Booked remembers the last screen you used in that browser, so the Booked menu item may not land here. Click Dashboard in the Booked sidebar.
  • It is slow to appear. The Dashboard fetches your whole booking history to build the two lists, so years of bookings take a moment to draw.
  • A figure looks a day out. Times are recorded against your business timezone, so a late-night booking can land on the neighbouring day.
