Payouts and bank details

When your money reaches your bank, and how to change that.

Money your customers pay through Booked Payments does not land in your bank straight away. It sits in a balance held for your business, clears over a day or two, then goes on to your bank on the schedule you pick. Here is where that schedule lives, how to change it, and what the odder-looking states mean.

Where payouts live

Everything to do with money is on one tab: BookedSettingsPayments — your balance, recent card payments, payout schedule, bank account and any disputes.

Two things must be true before you see any of it. Your Booked licence key has to be activated — until it is, the tab shows only Activate your licence to take payments and a Go to Licence button. And Booked Payments has to be switched on and verified: if you closed the Set up payouts form part-way through, you land on an almost empty tab with a Complete verification button, because balances, the payout schedule and your payout history all stay hidden until verification finishes. Only accounts allowed to change Booked settings can see this area.

Save settings does not apply here

Settings keeps its Save settings button on every tab, Payments included, but nothing here is saved by it — each control saves itself, with Save schedule or Save bank details. Deposits, booking references and your bank statement name do need Save settings, and they live on the Bookings tab.

The four payout schedules

Booked pays out Daily unless you change it, which suits most pharmacies and clinics: takings leave in a steady trickle, so the bank balance tracks the diary.

Two quirks. The weekly Payout day list only offers Monday to Friday, so no weekend anchor. On Monthly, Day of the month runs 1 to 31, where 31 reads Last day of the month — pick that, not 30, for month end whatever the month.

Manual means nothing is ever sent

With Manual, your balance builds up until you press Pay out now. If you chose it while setting up and then wondered why no money arrived, that is why — payouts are not broken, they were never scheduled.

Changing your schedule

The Payout schedule card sits below your balance. Pick an option, set the day if there is one, then press Save schedule. The change applies from your next payout; anything already on its way is unaffected. Your first payout is the slow one — the card warns it can take a few days longer while a new account settles in.

Getting paid early with Pay out now

Pay out now ignores the schedule and sends your whole available balance immediately. Confirm at Send your available balance to your bank now? and you will see Payout on its way — it usually lands in a couple of working days.

  • It sends everything available — there is no way to pay out part of a balance from Booked.
  • The button only appears when the available balance is above zero. If your money is all under On the way, there is nothing to send yet.
  • If it is there but greyed out, you have no bank account on file — the only clue is the No bank account on file text above it.
  • It does not change your schedule.

Changing the bank account payouts go to

Press Update details on the bank row, fill in all three fields, then press Save bank details. You should see Bank details updated — future payouts go to the new account. Leave one short and you get Enter your sort code and account number. instead.

  • 1The account on file now — still shown while you type the new one, so you can check what you are replacing. Update details has flipped to Cancel.
  • 2Sort code formats itself as 00-00-00 as you type; Account number takes eight digits. Both are labelled the UK way whatever country you are in.
  • 3Save bank details — saves on its own, without Save settings.
A new account applies to future payouts only

Saving adds the new account and makes it the default; it does not delete the old one. A payout already in transit still lands in the old account, so if you are closing that account, wait until the last payout has cleared.

When your balance goes below zero

Refunds and chargebacks come off your balance. If they add up to more than you have taken since, the card changes: Available to pay out becomes Balance to recover, the figure gains a minus sign in a warning colour, and Pay out now disappears completely.

It looks alarming and it is not. Your next takings clear the shortfall first, and payouts start again by themselves once you are back in the black. There is no invoice to pay and no button to press.

Checking past payouts

Payouts to your bank, under the transactions table, lists your six most recent payouts with the arrival date, a status word and the amount. It is hidden entirely until you have had one. The status comes straight from the card network and is not rewritten, so expect lower-case words with underscores — pending (created, not sent yet), in_transit (on its way) and paid (should be on your statement).

Your processing fee is taken from each payment as it is charged, so payouts arrive net of fees — there is no separate fee bill to match up. For more than six payouts, or a spreadsheet, use your Booked account website under Payments, where the payout table has an Export CSV button.

If a payout has not arrived, check the Payments tab for an alert reading Payouts are on hold. Please contact support. That flag is set by our support team and cannot be cleared from your site, so get in touch.
