Your Booked bill

Payment methods, invoices, what you are charged for, and cancelling.

Your subscription is handled on your Booked account at trybooked.co, not inside the plugin. Sign in and press Manage billing on your licence card — one page holding your saved cards, text-message usage, your recent payments and the link to cancel.

The billing page on your Booked account.

  • 1Your saved cards — the one marked Default renews your subscription and pays your weekly text-message bill.
  • 2+ Add a card — opens the form in place: Cardholder name, Card number, Expiry, CVC, then Save card (or Cancel to close it again). Your card processor secures those three boxes, so the full number never reaches Booked or your website.
  • 3SMS usage — the rate charged per text on your account, and what you have run up since the last weekly charge.
  • 4Billing history — your most recent payments, up to a dozen, each with its date, amount and status.
  • 5Cancel subscription — one link per active subscription, labelled with that site's address. It starts a short flow rather than cancelling on the spot.

Changing the card on file

Add the new card, make it the default, then remove the old one. Booked will not let you do it the other way round.

  1. Press + Add a cardFill in the name and card details, then Save card. It appears in the list straight away.
  2. Press Make default on the new cardThis repoints your subscriptions at that card, so the next renewal comes off it.
  3. Press Remove on the old cardBooked asks "Remove this card?" first. Once it is gone, putting it back means typing the number in again.

Two rules stop you locking yourself out, since your subscription and text bill both need somewhere to land. Removing your only card gives "This is your only card. Add another card before removing this one." Removing the card marked Default gives "This is your primary card. Make another card primary first, then remove it."

What you are actually paying for

Three separate things sit on your bill, and they behave differently.

The add-on can be changed from either end. Inside the plugin, Settings Your plan lists it as Included or Not in plan and lets you add or drop it there and then; on your Booked account, Add-ons opens a tick-box page with a running Add-ons total and Save changes.

  • 1Status — this has to read Active. Payment overdue and Cancelled both shut Booked down on your website.
  • 2Included / Not in plan — only Video consultations and the AI note-taker are listed. Calendar sync, secure documents, analytics and payments come with the platform, so they never appear — nothing is missing.
  • 3Add-ons — the button reads Add — £5/mo until you own it, then Active with a Remove beside it. This section shows only while the licence is Active, and a removal bites immediately, not at month end.

Text messages are billed weekly

Text reminders are pay-as-you-go. As texts go out they build up a running total; once a week that total is charged to your default card and the counter resets. Email reminders and confirmations cost nothing, however many you send.

The rate is charged per message segment, not per reminder. A short text is one segment; a long one is split by the network into two or three, and each counts as a text on your bill. Keeping reminder templates tight keeps the weekly figure down.

If that weekly charge fails, Booked pauses your texts. A red bar appears at the top of the SMS usage card reading "SMS is paused — a payment failed. Pay the outstanding amount to resume.", with a Pay now & resume button next to it. Sort the card out first, then press it: a successful charge clears the balance and lifts the pause in the same moment, and you get "Paid — SMS resumed." If the card is still failing you get "Payment failed — please check your card." instead. Your subscription and bookings are untouched — only texting pauses.

Outstanding at £0?

Normal until your dedicated number is live. Choosing a number under Settings Emails & texts records your preference — it does not start sending, so nothing accrues yet.

Invoices you can print or file

Behind every payment sits a proper Booked invoice — its own page on your account, never a page belonging to the card processor. It carries the company details and VAT number, the invoice number and date, a Paid or Due tag, who it was billed to, a line per item with the period it covers, and the totals. VAT gets its own line whenever tax applies to your account.

Billing history does not link to the invoice

The list on the billing page shows the date, amount and status of each payment and nothing more. Each invoice sits at a web address of its own on your Booked account; if you need one for your accountant and cannot see a way through to it, ask Booked for the link.

A Booked invoice, ready to print or save as a PDF.

  • 1Download / print — opens your browser's print dialogue; choose "Save as PDF" for your accountant. The buttons drop away in print, leaving the invoice sheet alone.
  • 2Number, date and status — the reference to quote if you query a charge, and whether it is Paid or Due.
  • 3Totals — subtotal, VAT where it applies, then Total paid (or Total due on one still outstanding). The footer names the card it came off.

Invoices are private to your account. You have to be signed in, and the invoice has to belong to you — anyone else's returns "That invoice couldn't be found on your account." The address for invoice queries is printed in the footer, after Thank you for using Booked.

When a payment fails

Booked does not fade out gently when a subscription payment fails. The licence drops to Payment overdue and the plugin stops: staff get the full-screen Activate Booked gate instead of the app, and your booking form disappears from your public pages — visitors see nothing where it used to be. The gate is the whole app, so you cannot reach Settings Your plan, or anything else in Booked, until the licence is good again.

Treat a failed subscription payment as urgent

Every hour it stays unpaid is an hour nobody can book with you online. Put a working card on the billing page and clear the payment. Your site re-checks itself on its own — on any wp-admin page load, at most once every couple of minutes — so it usually comes back by itself. To bring it back on the spot, paste your licence key into the Activate Booked screen and press Activate.

Cancelling

The Cancel subscription link opens a short flow, three screens deep.

  1. We're sorry to see you go"What's the main reason?", with five choices — Too expensive, Not using it enough, Missing a feature I need, Switching to another tool, Something else. Continue stays greyed out until you pick one. Keep my plan closes the whole thing.
  2. A one-off offer to stayA discount on your next few payments, applied there and then if you accept it. It appears once per account — accept it once and next time you go straight to the last screen.
  3. Confirm cancellationType CANCEL into the box to wake up the Cancel my subscription button. Keep my plan is still there if you change your mind.

Cancelling ends the subscription at the end of the current billing cycle. The time already paid for is honoured, nothing is refunded, and add-ons keep working until that date. When the period ends the licence goes to Cancelled and Booked shuts down on your site as described above.

Read the red box before you type CANCEL

The confirmation screen warns that every booking, every client record and your entire revenue history are permanently erased from Booked's systems 60 days after cancellation — no backups, no recovery. Booked also stops running on your website the moment the paid period ends, so take copies of what you need — appointment history, takings, contact details — while you can still open the app.

One last thing: Remove from this site on Settings Your plan is not a cancellation. It forgets the key on that website, nothing more — the subscription carries on and the card keeps being charged. Cancelling happens only on your Booked account.
